Office and Facilities Management :
- Oversee maintenance and operations of in the main building in Geneva, including parking allocations and office inventory.
- Manage facility insurance contracts, ensuring comprehensive coverage for both Geneva building and our regional centres.
- Serve as the primary contact for security, coordinating with the Security Officer to implement on-site safety measures.
Travel and Policy Oversight :
Maintain and monitor the organization's travel policy, including the oversight of business travel insurances.
Event Management and Board Coordination :
- Act as the principal liaison between Host Committees and our Secretariat for General Meeting preparations, including agenda setting, logistics, and social events.
- Handle travel arrangements for staff members (transport, visas, accommodations).
- Supervise the Meeting Registration System, General Meeting website, and related applications, in collaboration with Host Committees and IT division.
- Ensure timely shipping of materials and documents related to General Meetings.
- Oversee the organization of our year-end party for children and employees, as well as the annual Management Retreat.
Team Leadership :
- Manage, mentor, and motivate team members, setting clear objectives and performance goals.
- Provide continuous feedback and professional development opportunities to the team.
Qualifications and Skills :
- Extensive Experience : A minimum of 8 years in a globally-oriented environment, with a focus on event management and coordinating travel logistics.
- Regulatory Knowledge : A thorough understanding of Swiss legal requirements pertaining to workplace safety, security, and insurance matters.
- Language Proficiency : Proficient in both English and French, with strong written and verbal communication skills.
- Technological Aptitude : A deep familiarity with relevant digital tools and a keen interest in understanding and adapting to emerging technologies.
