Executive Assistant to CEO
On behalf of our client, an Asset Management Boutique specialized on digital assets, Swisslinx is looking for a dedicated and highly organized Executive Assistant for the CEO in Zurich.
You will be responsible for a wide range of administrative, organizational, and communication tasks, providing essential support to our CEO in managing daily operations and strategic initiatives.
As part of a small, international team in the center of Zurich you will be working independently on a broad range of tasks.
Your Role :
- Calendar Management : Effectively manage the CEO's schedule, including meetings, appointments, and travel arrangements, to optimize time and productivity.
- Correspondence : Act as the primary point of contact for the CEO, screening and prioritizing communications and inquiries.
- Travel Coordination : Arrange and coordinate both domestic and international travel, including flights, accommodations, and itineraries.
- Meeting Support : Coordinate and organize meetings, conferences, and special events, ensuring all logistical arrangements are handled efficiently.
- Communication : Serve as a point of contact between the CEO and internal / external stakeholders, maintaining professionalism and confidentiality.
- Document Management : Organize, maintain, and archive confidential documents, reports, and presentations, ensuring easy access when needed.
- Collaboration : Anticipate the CEO's needs and proactively address issues to enhance efficiency and effectiveness.
- Data Management : Conduct research and compile data to support the CEO in decision-making and strategic planning.
- Office Management : Provide administrative support as needed, including filing, copying, and maintaining office supplies.
Your Profile :
- Minimum 5 years' experience as an Executive Assistant.
- Background within a financial services environment, law firm and / or high-level hospitality would be preferred.
- Professional communication skills as well as ability to communicate with senior and C-Level executives.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Flexibility on working hours to coordinate with a global team of Assistants ensuring 24 / 7 coverage for the CEO
- Ability to work independently with a proactive approach.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Business professional English, German would be an asset.
