Business Event Services Specialist
The World Economic Forum is an international organization that brings together leaders from business, government, academia, and civil society to build industry, regional and global agendas, address systemic issues, and improve the state of the world.
The Forum’s Business Strategy and Partner Services’ is a central strategy and operations unit that supports the engagement journey of over 850 global and regional business partners (ie. partners).
We are currently seeking an Event Services Specialist who will deliver key participation and engagement metrics for business leaders across the .
Reporting Lines & Interactions
The Event Services specialist team will work across multiple internal teams to ensure business participation is maximised across all Forum institutional events.
The role will entail direct interactions with the Forum’s Account Management, , , Digital and IT, Global Programming, Security and Production, Marketing and Communications teams.
The Event Services Specialist will report to the Lead, Event Strategy and Experience.
Breakdown of main responsibilities
- Manage and respond to queries in the Business Services Inbox, ensuring prompt and accurate communication for up to 60% of the time in peak periods
- Provide day to day support for partners across , including event registrations, accommodation, transport services, visas and other event logistics requirements
- Co-lead the planning and preparation for business participants for select
- Promote the business engagement guidelines for the Forum’s small-scale meetings and partner with internal teams to ensure adherence, through ongoing training and consultation
- Support the execution of change management and internal communications campaigns related to event engagement for business (internal briefings, open houses, workshops)
- Assist in debrief exercises to identify trends and areas of improvement
The successful candidate will be assessed on
- Service excellence in responding to requests and interacting with internal and external stakeholders
- Contribution to the operational efficiency of the team, including level of support in making the best use of digital tools and effectiveness in following Forum processes
- Autonomy on managing event processes and delivery
Preferred Requirements and Experience
- Bachelor’s degree; project management, communications and / or other relevant certification is a strong plus
- 3+ years of experience in large scale project management
- Hands-on experience in world-class event design and delivery preferred, with successful track record of superior customer service
- Excellent verbal communication skills, including the ability to communicate with and manage expectations of leadership with confidence
- Capacity to work independently and manage multiple tasks simultaneously in a fast-paced environment
- Demonstrate excellent organizational, project and time management skills, a strong work ethic, and possess a high level of attention to detail
- Excellent degree of proficiency in Microsoft Office applications (Word, Power Point, Excel); strong knowledge of Salesforce, as well as project management tools and suites
- Ability to develop and maintain complex Excel spreadsheets, including the use of advanced formulas, pivot tables, charts and macros to streamline data and reporting processes
