We are currently seeking an enthusiastic and driven receptionist to join our Front Desk Team, which currently comprises three people. As the calling card
of our company, you will be responsible for ensuring the smooth operation of the reception area and handling organizational and administrative tasks within your domain.
Your working days will be Tuesdays, Wednesday and Thursdays as well as covering the days for team members who are on holiday for approximately 5 weeks a year.
Your main responsibilities :
- Welcoming and assisting customers and guests (including registration / deregistration and incoming goods inspection) and bidding them farewell
- Answering and forwarding telephone calls and related messages
- Managing postal services (internal distribution and franking)
- Overseeing the cash register
- Handling organizational tasks such as ordering and distributing coffee, milk, sugar, etc., for our kitchens, canteen, DHL, bike courier, lunches, hotels, and flights
- Maintaining the reception area and meeting rooms (including arranging flowers and maintaining tidiness)
- Assisting with minor project work
- Performing various administrative duties
- Providing organizational support for events
- Ensuring the overall presentability of business premises (including flowers and tidiness) from a reception perspective
- Organizing internal catering for lunches, snacks, etc.
- Managing mail distribution and franking
- Supporting telephone operators (occasionally deputizing for them)
- Undertaking substitute tasks as needed by the Facility Manager
Requirements & skills
- Completion of basic commercial training or equivalent experience
- Experience in the gastronomic or hotel sector is of advantage
- Proficiency in German and English; French language skills are advantageous
- Good knowledge of MS Office (particularly Outlook)
- A proven and convincing track record in a similar position, either as an employee or in a sole responsible capacity
- Pleasant charisma
- Excellent manners and a confident, well-groomed, and representative appearance
- Independence, reliability, and discretion
- A strong service orientation
- The ability to work under pressure and adapt flexibly (including covering vacations and sick leave)
- Very good organizational skills, team oriented and supportive personality
