Assistant International Programmes & Advisory Services 100% (F/M/D)

For our International Programme department and our Advisory Services / Learning & Innovation team both based in Zurich, we are looking for a dedicated and enthusiastic Assistant to join our organization as per December 1, 2024 or upon agreement.
YOUR MAIN TASKS
In this dynamic role, you will play a crucial part in supporting the International Programmes Department, dedicating approximately 70% of your time to this area.
You will also contribute to Learning & Innovation team which forms part of our Advisory Services, utilizing the remaining 30%.

International Programmes
- General administration for the International Programmes Department, including contracting, procurement, correspondence, travel arrangements, and ad hoc requests.
- Provide comprehensive administrative and secretarial support to the International Programme Directors.
- Welcome visitors and coordinate their programs, meetings, and induction schedules for new staff.
- Assist with the administration of country programs and humanitarian responses.
- Facilitate the organization of meetings and events.
- Maintain document filing in the intranet and on SharePoint, and support the migration to SharePoint.
Advisory Services
- Manage contracts, invoices, and payments for the Learning & Innovation (LNI) team.
- Collaborate with the LNI team to coordinate requests, conduct information searches, and handle correspondence.
- Oversee licenses for software related to knowledge management, learning, and innovation.
- Contribute to the editing of the LNI newsletter.
- Support the facilitation of both online and face-to-face meetings for the LNI team.
YOUR QUALIFICATIONS
- Education : Completion of Kauffrau / Kaufmann EFZ or equivalent qualifications.
- Experience : At least three years of relevant work experience.
- Language Skills : Fluency in German and in English (at least B2 level) with additional languages being a plus.
- Administrative Knowledge : Strong understanding of administrative processes.
- Attention to Detail : Highly accurate and efficient in managing administrative tasks.
- Service Orientation : Proactive and dedicated to providing exceptional service.
- Technical Proficiency : Competent in IT tools, including MS Word, Excel, PowerPoint, Teams, Outlook, SAP, and SharePoint;
a genuine interest in technology is a plus.
- Eagerness to learn combined with being open and enthusiastic about taking on new challenges.
- Strong interest in the work of a development cooperation.
