Business Operations Manager,
Accounting, Finance and Administration
Position : KVALITO Consulting Group, Business Operations Manager, Accounting, Finance and Administration
Location : Basel, Switzerland
Type : Part-Time (60-80%), Monday to Friday
Mission :
The core mission of the Business Operations Manager is to ensure the seamless functioning of KVALITO Consulting Group's daily operations.
This role involves a diverse range of responsibilities, including office management, administration, finance, and accounting, all aimed at enhancing efficiency and ensuring compliance.
The Business Operations Manager will coordinate internal activities, manage documentation, organize events, and support bookkeeping processes.
We seek a highly organized and proactive person who can effectively manage multiple tasks while collaborating across departments to drive business goals.
Key Accountabilities :
Administration & Office Management :
- Serve as the main point of contact for managing company correspondence (emails, post, phone) to maintain timely and effective communication.
- Organize and maintain company documents, ensuring compliance and easy access for relevant stakeholders.
- Create and distribute minutes for project and team meetings, ensuring accurate documentation.
- Manage office supplies and order promotional materials as needed.
- Support the planning and coordination of internal and external events, such as team meetings, workshops, and annual gatherings, ensuring smooth execution and adherence to budget.
- Coordinate business travel arrangements, including travel bookings, accommodation, and logistics, ensuring cost-effectiveness and compliance with travel policies.
Accounting & Finance :
- Assist with bookkeeping tasks, including accounts payable and receivable, and support operational accounting processes.
- Track employee work reports and assist with client invoicing.
- Manage invoices, payments, and VAT (MWST) filings, and prepare withholding tax documentation.
- Support the preparation of year-end financial statements and related documentation.
- Oversee expense management processes to ensure alignment with company policies and accurate documentation.
- Regularly update cash flow plans and financial reports, maintaining data accuracy and alignment with company growth forecasts.
Financial Performance :
- Ensure invoices, payments, and expense reports are processed accurately and on time, meeting a 100% accuracy standard.
- Keep cash flow plans and financial reports regularly updated, providing insights to support forecasting and business growth.
Event & Travel Coordination :
- Ensure internal and external events are planned and executed within budget and timelines.
- Coordinate business travel in a cost-effective and policy-compliant manner.
People & Communication :
Facilitate effective internal communication to support onboarding, team collaboration, and alignment across departments.
Key Qualifications :
- Completed apprenticeship in office administration, tax, accounting, finance, HR, or a related field.
- Languages : Fluent in both German and English (written and spoken); additional language skills are a plus.
- 3+ years in office management, administration, finance, or accounting. Familiarity with event planning, project management, or process improvement is advantageous.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and accounting software such as Bexio.
Key Competencies :
- Demonstrates strong organizational abilities, particularly in office operations, document management, and event coordination.
- Ensures accuracy in financial transactions, bookkeeping, and all administrative tasks.
- Able to prioritize multiple tasks effectively to meet deadlines.
- Proactively addresses challenges and offers practical solutions.
- Communicates effectively with internal teams and external stakeholders to facilitate smooth operations and foster teamwork.
