Act as a liaison between internal management and external stakeholders. Two main roles : 1 Assist the CEO and founder and 2 Manage the office composed of approximately 20 employees in Lausanne and bounce between the two roles daily :

  • Manage CEO's calendar and organise his meetings, appointments and travels,
  • Create and write reports, prepare and administer documents, using MS Office and track deadlines and update database,
  • Support management in projects, coordinate activities,
  • Manage office operations, tidy and maintain office archives and sharepoint, manage stock of furniture and negotiate contracts with vendors,
  • Plan and organise small internal and external events, including all reservations and negotiations whenever required,
  • Implement administrative processes,
  • Handle phone calls, filter and liaise.
  • 5-10 years experience in Office Management AND in Executive Support to C-level,
  • Experience in modern and dynamic work environments, ideally in small-medium sized and growing firms,
  • Fluency in French and in English (C1-C2),
  • Calm temper, discrete, able to handle several tasks and responsibilities in a calm and collected manner,
  • Strong attentive to detail and rigour,
  • Positive, excellent interpersonal skills, able to connect with people, strong customer service orientation,
  • Proactive, flexible, agile and resourceful,
  • Proficient on MS Office.
