Responsibilities

  • Scheduling and coordinating appointments, meetings, conferences, and conference calls
  • Arranging domestic and international travel for team members
  • Organizing small events, roadshows for clients, and internal offsites / events
  • Coordinating on-site visits and field trips for clients
  • Managing team expense reports, processing invoices, and handling reclaims
  • Providing administrative support and diary management for Co-Heads and the Leadership team
  • General office tasks and administrative support, including office supply management and marketing giveaways
  • Collaborating with administrative assistants in Switzerland, sharing best practices, and implementing agreed changes as needed
  • Preparing internal reports for management / Board of Directors, maintaining business figures and pipeline, working closely with the Finance team, and supporting projects, business plans, internal and external audits
  • Assisting with HR-related tasks such as onboarding / offboarding team members and managing absence planning

Skills

  • Native German speaker, proficient in English, with French as an added advantage.
