- Manage a very active calendar including contradictory requests and time zone differences
- React to calendar changes and liaise with relevant parties to find alternative solutions
- Schedule business meetings and conference calls with multiple stakeholders around the Globe
- Ensure that meetings are well prepared, supporting documents are ready, and your superior has been briefed on the most important topics
- Arrange complex travel arrangements and respond to any last-minute travel issues such as cancellations.
- Organize offsite events in Switzerland or abroad, possibility of joining some of them
- Handle expenses and invoices on a timely manner
- Manage inbox, filter phone calls, and prioritize the requests
- Review and prepare miscellaneous reports, presentations, and documents
- Support with the creation of presentations and internal communication
- File documents in an efficient manner while ensuring absolute data confidentiality
- Support with project work, depending on capacity and need
- Completed Commercial education
- 5-10 years working experience in a similar role
- Previous experience within large organisations as well as multicultural and dynamic environments
- Business fluency in English, German skills are a big plus
- Proficiency in MS Office, especially PowerPoint
- Outstanding communication and presentation skills
- High level of service and quality
- Fast thinker with a proven ability to multitask, coordinate and prioritize
- Well organized, structured and highly autonomous way of working
- High degree of tact and discretion
- Capability to foresee problems and to prevent them
- Skilled to take the ownership and deal with ambiguity
