- Coordinate and manage the CEO's calendar, assessing requests and opportunities to align with key priorities.
- Act as the main point of contact and intermediary for stakeholders seeking interaction with the CEO.
- Anticipate needs, assess situations, and execute tasks based on the CEO's preferences and organizational objectives.
- Handle a wide range of administrative duties, including gathering and organizing materials for meetings, drafting correspondence, arranging travel plans, and processing expense reports.
- Plan and oversee logistics for meetings and events involving the Board of Directors, investors, and other external parties.
- Occasionally provide administrative support to other executives as needed.
- Step in for the Office Manager during their absence, if required.
- Assist the CEO with personal matters, such as travel arrangements, appointments, and day-to-day life in Switzerland.
- Minimum 5-year experience as an Executive Assistant to CEO or high-level executives
- English & French fluency
- Excellent communicator in written and verbal form
- Outstanding ability to understand someone else's personality and to adapt accordingly
- Flexibility and resilience in fast-paced environment
- Strong interpersonal skills. Able to communicate effectively with different stakeholders and able to act as a link between the CEO and board members and other stakeholders
- Ability to work in a multicultural and multinational environment
- Ability to complete a high volume of tasks and projects with little or no guidance
- Ability to react with appropriate level of urgency to situations that require quick reaction
- Able to maintain a high level of integrity and discretion in handling confidential information
- Ability to conduct oneself with poise and professionalism
- Good judgement, with a professional, team player attitude
- Proficient in using Microsoft Office
- Excellent understanding of Swiss legal & administrative system
