They key responsibilities are as followed :

General Administrative Support :

  • Handle incoming calls, emails, and correspondence, and direct them appropriately.
  • Organise and maintain the office filing system, ensuring all documents are properly archived.
  • Prepare and edit documents, reports, and presentations as needed.
  • Schedule and coordinate meetings, appointments, and travel arrangements

Operations Management :

  • Process daily banking transactions (deposits, withdrawals, transfers, etc.).
  • Verify and reconcile client accounts.
  • Monitor loan applications and ensure the updating of client files.

Office Management :

  • Oversee office supplies inventory and ensure timely reordering.
  • Manage office budgets and assist with basic bookkeeping tasks, including invoice processing and expense reporting.

Accounting Support :

  • Assist with basic accounting tasks, such as preparing expense reports, data entry, and tracking payments.
  • Support the financial team with managing records, tracking expenses, and liaising with external accountants.

Qualifications required :

  • A proven experience as an administrative assistant or in a similar role in a financial institutions in Geneva.
  • Full proficiency in English, fluency in French is an asset.
  • Excellent organisational and multitasking skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software.
  • Ability to handle sensitive information with the highest level of confidentiality.
  • Familiarity with basic accounting principles is important
  • Experience in a family office environment is advantageous
