Executive Support

  • Manage the General Manager's calendar, ensuring effective prioritization of meetings, appointments, and business commitments.
  • Coordinate domestic and international travel arrangements, including flights, accommodation, visas, transportation, and itineraries.
  • Prepare meeting agendas, presentations, reports, briefing documents, and correspondence.
  • Screen and manage incoming communications, ensuring timely responses and follow-up actions.
  • Handle confidential and sensitive information with the highest level of discretion.



Meeting & Event Coordination

  • Organize internal and external meetings, including preparation of materials, meeting logistics, and follow-up actions.
  • Attend meetings as required, take minutes, and track action items to completion.
  • Coordinate leadership meetings, management committees, and business reviews.
  • Support the organization of company events, client meetings, off-sites, and executive visits.



Stakeholder Management

  • Act as a key liaison between the General Manager and internal/external stakeholders.
  • Build effective relationships across departments and with external partners.
  • Facilitate communication and ensure timely follow-up on key business initiatives.



Business & Administrative Support

  • Prepare reports, presentations, dashboards, and executive summaries.
  • Monitor deadlines and ensure follow-up on strategic projects and key deliverables.
  • Assist with budget tracking, expense management, and invoice processing where required.
  • Maintain accurate filing systems and business records.
  • Support corporate governance activities and document management.



Project Coordination

  • Support strategic initiatives by tracking milestones, deadlines, risks, and actions.
  • Coordinate cross-functional projects and ensure alignment between stakeholders.
  • Monitor progress and prepare status updates for leadership review.



Qualifications & ExperienceEducation

  • Bachelor's degree in Business Administration, Management, Finance, Hospitality, or equivalent experience.



Experience

  • Minimum 5 years' experience as an Executive Assistant, Personal Assistant, or Senior Administrative Assistant supporting executive-level leadership.
  • Experience supporting senior executives in an international and fast-paced environment.
  • Exposure to multinational organizations is highly desirable.



Skills & CompetenciesTechnical Skills

  • Advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Strong presentation and document preparation skills.
  • Experience with ERP, expense management, and collaboration tools is an advantage.
