Purpose of the RoleThe Business Assistant will provide a combination of executive support, business coordination, project management, and operational assistance to senior leaders and their teams.

The role requires a proactive individual who can anticipate needs, manage multiple priorities simultaneously, and confidently interact with stakeholders at various levels of an organization.

Key ResponsibilitiesExecutive & Business Support

  • Act as a trusted partner to senior leaders, helping to maximize their effectiveness and efficiency.
  • Manage complex calendars, scheduling priorities, and meeting coordination.
  • Prepare briefing materials, presentations, reports, and executive communications.
  • Support follow-up on key decisions and action items.
  • Coordinate leadership meetings and ensure timely execution of agreed deliverables.



Project & Strategic Coordination

  • Support the planning and execution of strategic initiatives and special projects.
  • Track milestones, risks, deliverables, and action plans across multiple workstreams.
  • Coordinate inputs from different teams and stakeholders.
  • Conduct research and prepare concise analyses, summaries, and recommendations.
  • Contribute to the preparation of materials for executive discussions and decision-making.



Stakeholder & Relationship Management

  • Coordinate interactions with internal and external stakeholders.
  • Prepare briefing packages ahead of meetings and events.
  • Support the organization of workshops, leadership meetings, and strategic events.
  • Ensure timely follow-up on commitments and stakeholder requests.



Business Operations

  • Support budget tracking, monitoring, and reporting activities.
  • Assist with planning cycles, forecasting exercises, and operational reviews.
  • Monitor key administrative and operational processes.
  • Contribute to process improvements aimed at increasing team efficiency and effectiveness.



Travel & Logistics

  • Coordinate domestic and international travel arrangements.
  • Prepare mission briefings and travel documentation.
  • Support logistics for conferences, workshops, and leadership engagements.



Continuous Improvement & Special Assignments

  • Identify opportunities to improve ways of working and operational processes.
  • Take ownership of ad hoc projects and assignments.
  • Contribute to building a positive, collaborative, and high-performing team culture.



Education

  • Bachelor's degree or equivalent experience in Business Administration, International Relations, Economics, Communications, Management, or a related field.
  • Recent graduates with strong relevant experience are encouraged to apply.



Experience

  • Min 2 years of experience in business support, executive assistance, consulting, project coordination, operations, or a similar role.
  • Experience supporting senior stakeholders in an international or corporate environment is an asset.
  • Demonstrated ability to manage multiple priorities in a fast-paced setting.
  • Exposure to project management, budgeting, or business operations is desirable.
