In collaboration with the Service Managers and the Spare Parts Manager, you will be responsible for providing administrative support to ensure smooth customer service operations.Key Responsibilities:Support for the Service Managers (several sites in Germany, France, England, Switzerland):Recording / invoicing of service assignments according to the Service Manager's report in the local ERP system. Managing and invoicing maintenance contracts. Uploading invoices to various portals / Assisting with reminders for outstanding invoices / Creating credit notesAssisting in scheduling appointments and follow-up with worldwide customers as neededPreparing reports (ERP and Excel): weekly sales / leads per month / backlog per month / warranty costs per month / S-Curve / estimating the service revenue per weekCreating presentations in PowerPoint.Support for the Spare Parts team (based locally):Assisting with the processing of customer spare parts ordersHandling exchange deliveries up to the creation of credit notes (RMA)Supporting the local Service Department, including helping service technicians with administrative tasks for approving customer service visits with special requirements (managing online portals)Required profileExperience as sales assistant or customer service assistantIdeally, technical experience; at minimum, technical curiosity and interest in machinery or industrial equipmentFamiliarity with an international environmentVery good spoken and written English and German; French or Spanish advantageousProficiency in MS Office (Word, Excel, Outlook) and ERP expertiseVery flexible, team-oriented and reliableAbility to manage stress and peak workloadsIndependent and self-motivatedWhat we offerJoin our international and dynamic team, where collaboration and teamwork are at the heart of everything we do.
