Tasks
- Act as right hand of the CEO regarding Board of Directors, annual Shareholder meeting, Investors, Roadshows and business development activities
- Provide a wide range of administrative and organizational support to our entire team including organizing meetings, travel arrangements and expense reports, agenda management, printing and circulation materials, handling reservations and conference calls etc.
- Organize internal and external events (workshops, onboarding day) in collaboration with the management team
- Interface with vendors and service providers
- Route documents to appropriate owners for action and filing (i.e. Finance, Legal, etc.)
- Responsible for office supplies, incoming phones and mails, visitors and catering
- Assist with PowerPoint presentations and maintain various databases
Requirements
Successfully completed study in Business Administration or equivalent educationMinimum 5+ years of work experience as Assistant on Executive level in a similar role, preferably in an international company with pharma / biotech focusMust be fluent in English & German (spoken and written), any further languages are an assetExpert proficiency in MS Office package, especially in Outlook, PowerPoint, and ExcelAffinity to figures and IT is a mustExcellent planning and organizing skills, able to manage multiple tasks simultaneously and set prioritiesFlexible, efficient, and able to work independently with a problem-solving attitudeStrong team player, high-energy, and positive personalityAble to maintain confidentiality and exercise discretion at all timesHybrid means : 3 days on site in Allschwil, 2 days home-office but able to come to the office if needed.
