Proclinical is seeking an Administrative Assistant to join a dedicated team. This role focuses on vendor and event management, as well as handling orders and invoices. The ideal candidate is someone who can efficiently manage administrative tasks in a dynamic environment.

Please note that to be considered for this role you must have the right to work in this location or hold an EU passport.

Responsibilities :

  • Manage purchase orders and process accounts payable invoices.
  • Set up and manage vendors using online platforms.
  • Coordinate events, including entering details, securing approvals, and managing documentation and payments.
  • Track costs, manage accruals, and maintain the budget sheet.
  • Provide telephone support and manage copying, filing systems, and incoming mail and parcels.
  • Prepare correspondence, spreadsheets, and other documents as directed.
  • Attend department meetings and take minutes.
  • Maintain confidentiality in all responsibilities.
  • Support other administrative assistants and perform additional duties as needed.

Key Skills and Requirements :

  • Proficient in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Strong verbal and written communication skills in both German and English.
  • Experience in similar administrative roles.
  • Ability to work effectively in a fast-paced environment with multiple tasks.
  • High level of accuracy in preparing and entering information.
  • Team player capable of working in a cross-functional team.
