The position centers on developing and maintaining Smartsheet-based trackers, dashboards, and action logs that give leadership clear visibility into readiness, documentation, and campaign preparation. It requires close collaboration across Manufacturing, MSAT, Process Development, Supply Chain, Quality, Regulatory, and multiple CDMOs/CMOs. Beyond systems work, the role also provides direct operational support to the cross‑functional teams supporting Manufacturing teams driving operational readiness capabilities. /p h3Your Responsibilities /h3 ul liMonitor manufacturing campaign readiness — batch milestones, documentation status, material readiness, and open actions /li liConsolidate input from Manufacturing, MSAT, Quality, Supply Chain, Regulatory, and CDMOs into integrated readiness views /li liEstablish governance routines, readiness meetings, and escalation processes for leadership visibility /li liBuild and continuously improve Smartsheet trackers, dashboards, and readiness tools /li liSupport structured commercial readiness gap assessments across operations, documentation, and facility/CDMO deliverables /li liTrack actions, owners, due dates, risks, and dependencies through to closure /li liPrepare status updates, heatmaps, and management reports on progress and gaps /li liSupport organizational maturation through new processes, templates, and operating rhythms /li liProvide direct support to the Head of Manufacturing: agendas, pre‑reads, minutes, and follow‑up /li liCoordinate team events, workshops, offsites, and cross‑functional alignment meetings /li liTrack scheduled CDMO activities to optimize resource use and milestone alignment /li liMaintain visibility of GMP documentation (batch records, procedures, protocols, reports) /li /ul h3Your Qualifications Experience /h3 ul liBachelor's or Master's degree in life sciences, engineering, operations, project management, or a related field /li li5+ years in GMP manufacturing, external manufacturing, operations readiness, manufacturing systems, or PMO within biotech/pharma /li liExperience in vaccine, biologics, microbial, sterile, or complex large‑molecule manufacturing environments /li liAbility to identify gaps and work proactively in a developing organisation. /li liProven track record supporting commercial readiness, launch preparation, gap assessments, or governance routines in a regulated environment /li liAdvanced hands‑on Smartsheet expertise: trackers, dashboards, automated workflows, cross‑sheet references /li liSolid understanding of GMP operations, batch/campaign readiness, and documentation requirements /li liDemonstrated ability to align multiple stakeholders across internal functions and external CDMOs/CMOs /li liExperience with Lean, visual management, or process/organizational improvement practices /li liStrong organizational and communication skills; able to manage multiple workstreams and produce concise leadership‑ready materials /li liExperience coordinating workshops, governance meetings, and team events in a growing organization /li /ul pThis is a hybrid role. /p pThe EFOR Group’s legal entity, KALIPSIA AG is based at bHolbeinstr. 50, 4051 Basel /b, is recruiting and managing client relationships.
