ROLE DESCRIPTION
The Nautical Scheduler is responsible for planning, coordinating, and maintaining accurate license-based crew schedules to ensure safe, compliant, and reliable operations across assigned vessels, routes, and planning portfolios. The role supports Nautical Operations by translating planning frameworks into robust day-to-day execution, ensuring operational coverage, regulatory compliance, and service continuity.
The role requires strong analytical skills, attention to detail, and the ability to communicate clearly with multiple stakeholders in a fast-changing, regulated environment.
KEY RESPONSIBILITIES
Strategic Scheduling & Oversight
• Develop, maintain, and update short-, mid-, and long-term schedules for assigned operations, vessels, or planning portfolios
• Ensure compliant coverage of all operational requirements, including license validity, certifications, rest periods, and training attendance
• Manage dependencies, overlaps, and critical timing constraints within assigned planning scope
• Build and maintain contingency plans for absences, disruptions, or last-minute changes
• Identify manning gaps or compliance risks early and escalate appropriately to the Senior Planning Manager
Coordination & Communication
• Act as a central coordination point between Nautical Operations, Nautical Management, HR, and relevant internal stakeholders
• Communicate schedules, changes, and operational impacts clearly and in a timely manner
• Handle schedule-related inquiries professionally, consistently, and in line with planning standards
• Ensure clear handovers and continuity of service within the planning team
Data & Systems Management
• Maintain scheduling and planning data with a high level of accuracy, traceability, and consistency
• Use in-house scheduling tools and spreadsheets to manage, analyze, and update plans
• Ensure version control, documentation of changes, and data integrity in planning systems and core planning files
• Contribute reliable inputs to planning reports, KPI tracking, and governance routines
Compliance & Risk Management
• Ensure schedules comply with applicable labor laws, working-time regulations, licensing requirements, and internal policies
• Monitor rest periods, workload distribution, and fatigue-related risks within assigned scope
• Support audits, reviews, and compliance checks by maintaining accurate and auditable planning records
Continuous Improvement
• Identify inefficiencies, recurring issues, or improvement opportunities in planning processes
• Propose practical enhancements to planning quality, stability, and transparency
• Support continuous improvement initiatives led by the Senior Planning Manager
Measurable Goals
• Accurate, transparent, and trusted schedules within assigned planning scope

KEY QUALIFICATIONS
Experience
• Experience in scheduling, planning, or operational coordination roles
• Background in maritime, river cruise, transport, or other regulated operational environments is an advantage
• Knowledge of labor regulations, working-time rules, and license-based planning is a plus

• Strong planning and organizational skills in a regulated operational environment
• High attention to detail, accuracy, and reliability
• Advanced proficiency in Excel or similar spreadsheet tools
• Experience working with scheduling or planning systems
• Clear communicator with strong coordination and stakeholder-management skills
