We are looking for a smart thinker, quick learner, humble, able to work under pressure, stress-resistant, and proactive with strong emotional intelligence. /ph3Responsibilities /h3h3Administrative Support /h3ulliManage and organize Managing Partner’s calendar, schedule appointments, and meetings /liliHandle incoming and outgoing correspondence, including emails, letters, and phone calls /liliPrepare, proofread, and edit legal documents, contracts, and correspondence /liliMaintain and organize legal files, both physical and electronic /liliAssist in preparing reports, presentations, and other documents as needed /liliSupport onboarding of new members of the firm /li /ulh3Legal Research and Documentation /h3ulliConduct legal research on various topics as directed by the Managing Partner /liliPrepare legal memoranda, summaries, and briefs /liliAssist in drafting and reviewing legal documents, contracts, and agreements /liliManage and track legal deadlines, ensuring timely filing and submission /liliLiaise with clients, witnesses, and other parties involved in legal matters /li /ulh3Case Management /h3ulliOrganize and maintain a database of case-related documents /liliCoordinate with external legal counsel and other professionals /liliPrepare and file legal documents with courts and authorities /liliMonitor case progress and provide updates to the Managing Partner /li /ulh3Client Interaction /h3ulliAct as a point of contact for clients and ensure high-quality communication /liliSchedule meetings and prepare materials /liliHandle confidential information with discretion /li /ulh3Office Management /h3ulliManage office supplies and equipment /liliHandle billing, invoicing, and expense reports /liliCoordinate travel arrangements (flights, hotels, transport) /liliAssist in organizing events (Swiss Capital Market Forum), conferences, and meetings /liliSupport digital workflows and contribute to the firm’s AI and digital strategy /liliUse and optimize IT systems (Outlook, Word, Excel, PowerPoint) /liliPrepare presentations and documents using modern digital tools /liliUtilize AI tools (e.g. ChatGPT, legal AI platforms) to support research, drafting, and efficiency /liliSupport internal automation and process optimization initiatives /liliTranslate newsletters, website content, and legal documents (English, German, Russian, French) /li /ulh3Qualifications /h3h3Education /h3pBachelor’s degree preferred; legal assistant/paralegal certification is a plus or willingness to pursue CAS paralegal education /ph3Experience /h3pMinimum of 5 years in a legal assistant or similar role /ph3Skills /h3ulliStrong knowledge of legal terminology, procedures, and documentation /liliProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) /liliDigitally savvy with strong interest in legal tech and AI tools /liliExperience with legal research tools (e.g. Westlaw, LexisNexis) and case management software /liliExcellent written and verbal communication skills /liliStrong organizational and multitasking abilities /liliHigh attention to detail and accuracy /liliDiscretion and confidentiality handling /liliFluency in German and English (Russian and French are a plus) /li /ulh3Application Process /h3pTo apply, please submit your CV, a letter of motivation, and references to: /ppWe look forward to hearing from you and welcoming a new member to our team. /p /p #J-18808-Ljbffr
