For our client, an International Pharma company based in the Basel area, Switzerland, we are looking for a

Event Manager (focus Clin Ops) (6162)

in a contractor setting for intially 12 months, possibly extendable.

Resposibilities & tasks

  • Set up meeting planning for Investigator Meetings and big scale events
  • Continuously improve meetings / events policy, processes, and guidelines
  • Plan, coordinate and execute national and international Meetings for Clinical Development (e.g. choosing locations, sourcing accommodation, arranging equipment, booking space requirements, choosing vendors, selecting menus, arranging transportation for attendees)
  • Oversee, compile, assess and control budgets for all meetings (excl meetings planned and executed by agencies)
  • Assist teams with planning and forecasting worldwide big scale meetings
  • Establish state-of-the-art contracts with third party suppliers (e.g. hotels, agencies, promotional material suppliers etc.

to obtain / negotiate best possible rates and conditions) in collaboration with procurement

  • Perform venue site inspections when needed
  • Be challenger and supervisor on site of quality adherence of all external service providers
  • Drives the Meetings ensuring that they are compliant with the Pharmaceutical Industry guidelines and client's compliance
  • troubleshooting should any problems or issues arise during the planning or the course of the meetings and events

Requirements

  • Proven record of successfully planning and managing global events within international pharmaceutical companies including liaising with the industry, vendor selection and management
  • Negotiation skills when looking for the best price from venues, suppliers, and contractors
  • Detail-orientated. Good organizational, communication, and interpersonal skills
  • Ability to manage budgets
  • Ability to work with people on different hierarchical levels and to establish fruitful working relationships
  • Fluency in English (written and spoken is essential), other languages are an advantage
  • Training and / or experience in Plain Language Summary writing
  • Able to coordinate, multitask and problem solve to the highest degree
  • Excellent time-management skills with the ability to work under pressure and independently in accordance with the Function’s priorities and timelines.
  • Ability to work proactively; must be able to take initiative
  • A problem-solving approach with the ability to suggest and implement new processes
  • Trustworthy person with a positive attitude, flexible, dynamic, who thrives in a constantly changing environment
  • Ability to recognize confidential information and maintain strict confidentiality of restricted information.
