Executive Assistant & AN EMEA Team Support – 100%
Position OverView
As the Executive Assistant, the candidate is responsible to provide full and accurate administrative support from calendar management to booking travel and managing expenses.
Essential Duties & Responsibilities
1. Calendar and travel management
- Manage and coordinate the calendar (including conflicts, contradictory requests, content / location / agenda / materials with the parties involved)
- Anticipate and react to calendar changes, communicate the modifications and liaise with business partners to find alternative solutions
- Manage flight and hôtel bookings in a timely and accurate manner; negotiate with hotels and transport
- Identify the best travel option with the right price / travel constraint balance
- Respond to any last minute travel issues such as cancellations, re-routing, invoicing
2. Expenses and budget management
Complete expense reports using the providedDouble-check account statements and liaise with suppliers to receive any missing3.Administration
Relay the flow of information / documents to be signed between Leader and teamProvide back-up for other Executive Assistants as requiredMaintain up-to- date org chart and contact lists for executives departmentsAny ad-hoc request from executives according to priorityPréparé and create PPT presentation for internal and external useDraft and send executives announcement4.AN FMFA Support
