General Description :
The Senior Coordinator, Distribution Process Europe plays a key role in optimizing and elevating the Order‑to‑Invoice (O2I) process, ensuring alignment with Standard Operating Procedures (SOPs) and Good Distribution Practice (GDP) requirements.
The position focuses on strengthening process reliability, driving continuous improvement, and developing robust, scalable ways of working across the distribution ecosystem. It identifies optimization and automations opportunities, enhances process controls, and supports the evolution of best‑practice standards.
The role contributes to performance monitoring, leads structured root‑cause analysis, and supports improvement initiatives that reinforce GDP and quality compliance.
The ideal candidate collaborates closely with internal teams (Finance, Quality, Supply Chain, Regulatory, and in‑country Commercial teams) and external partners to ensure cohesive governance, streamlined collaboration, and a consistently high‑performing distribution framework.
Proactive communication, structured problem‑solving, continuous‑improvement mindset and maintaining transparency across distribution‑related processes are key to advancing operational maturity and long‑term process excellence.
Essential functions of the job :
Issue Management & Continuous Improvement
Collaborates with stakeholders to drive process improvements and reduce recurring issues.
Follow up with internal and external teams to ensure timely documentation and resolution of issues.
Supports Order to Cash operational readiness for new country launches, New Product Introduction, or new distribution models.
Supports global projects such as system enhancements and new feature development (SAP, EDI, Veeva, AI) aimed at simplifying distribution operations.
Helps identify standardization and optimization opportunities for distribution processes across Europe, with a focus on organizational efficiency, lead time, quality, costs and customer experience.
Assists in the analysis and reduction of distribution costs in collaboration with the Finance and Supply Chain teams.
Participates in SLA (Service Level Agreement) and performance reviews with logistics providers, helping to ensure service level targets are met.
Compliance & Quality Support
Logs distribution incidents and analyses data to optimize operations in scope (incorrect orders, customer address, shipping methods, delayed shipments, etc.).
Quality deviations management in Veeva QMS for events impacting the quality or safety of BeOne products (product returns, damages, etc.).
Contribute to the preparation and reporting of GDP KPIs in collaboration with the 3PL Manager and the Distribution GDP Compliance Manager.
Ensure compliance with company and regulatory standards, including Good Distribution Practices (GDP).
O2I Performance Monitoring & Reporting
Track and report O2I KPIs on a monthly basis, identifying trends and areas for improvement.
Keeps logs of and consolidate incidents, deviations (including temperature excursions (TEs) for performance analysis.
Support root cause analysis (RCA) and corrective / preventive actions (CAPA) for incidents, deviations, and TEs.
SOP / WI Management & Governance
Oversee the lifecycle of Standard Operating Procedures (SOPs) and Work Instructions (WIs) related to O2I processes.
Ensure SOPs and WIs are up to date, compliant, and effectively communicated to relevant stakeholders.
Team support :
Helps the O2I team with Customer master data creation, revalidation and deactivation in SAP in compliance with GDP requirements and country-specific documents / licenses.
Support on Order Management operations as required
Qualifications :
Associate degree or equivalent in business administration / supply chain.
4+ years of work experience in a pharmaceutical industry required.
English is mandatory, any other major European language a plus.
SAP SD / MM experience.
Veeva Knowledge is a plus.
GDP knowledge.
Understands basics of temperature-controlled shipments (ambient and cold chain).
Ability to prioritize and drive initiatives.
Proactive attitude with sense of initiative.
Track record of making things happen.
Solution oriented and customer focus.
Ability to work in a fast-moving company.

Standard Computer Skills required (MS Office); SAP; ideally QMS.
Other Qualifications :
