Deine Aufgaben

Your main tasks as Operations Coordinator :

  • Daily monitoring of the CEO’s inbox and distributing incoming inquiries.
  • Managing various electronic mailboxes (group and client mailboxes) and occasional scanning of physical documents.
  • Maintaining the company website and managing social media channels.
  • Organizing appointments, team events, and client lunches / dinners.
  • Capturing and reviewing time entries, client data, budgets, and templates within our management software.
  • Creating and reviewing standard documents, including letters, power of attorney, service level agreements, and data protection agreements.
  • Proofreading offers, presentations, contracts, and AGM memos.
  • Designing, implementing and evaluating surveys.
  • Keeping our archiving structure, online library, and templates organized and up to date.
  • Ordering gifts, office supplies, and hardware as needed.

Possible additional HR Admin Tasks :

  • Managing personnel administration for all aspects of the HR life cycle (onboarding, changes, offboarding), including document preparation.
  • Handling notifications to social security regarding accidents, illness, maternity and paternity leave, and family allowances.
  • Maintaining internal and external data and processes across various HR software.
  • Supporting recruitment efforts and drafting / reviewing HR documents.
  • Contributing to various client projects, which may involve document automation, digitalization, or implementing new software.

  • Strong flexibility regarding tasks and a can-do attitude.
  • Ability to perform independently within a remote team.
  • Excellent English and German language skills (minimum C1 level, this is a must have criteria).
