- Calendar Management : Coordinate all aspects of the CEO's calendar, including scheduling meetings, organizing logistics, and ensuring optimal time management.
- Travel Coordination : Arrange all travel logistics, including flights, accommodation, and ground transportation, to ensure seamless travel experiences.
- Expense Management : Reconcile expense reports, process receipts, and manage reimbursement claims in compliance with company policies.
- Administrative Support : Handlevariouspersonal administrativetasks andcoordinatewithsuppliers,including :
- Tax filings and liaising with accountants.
- IT support and troubleshooting.
- Insurance-related matters and claims.
- Personal appointments, including medical, family, and social events.
- Monitoring personal payments and resolving discrepancies.
- Additional miscellaneous administrative tasks as needed.
- Program Coordination : Assist with program logistics, including materials ordering and delivery, printing, and providing on-site assistance as required.
- Internal Communication : Facilitate effective communication and coordination with external consultants, internal teams, and other stakeholders.
- Office Administration Backup : Provide backup support for general office administrative tasks and collaborate with the office team as needed.
- Language Proficiency : Fluency in French and English, both written and spoken.
- Experience : Proven track record as an Executive Assistant or Personal Assistant, ideally in a high-level corporate or private office setting.
- Organizational Skills : Strong ability to manage multiple tasks and priorities with precision and efficiency.
- Interpersonal Skills : Excellent communication and interpersonal skills, with a friendly yet professional demeanor.
- Discretion : Ability to handle sensitive information with the utmost confidentiality and discretion.
- Technical Proficiency : Proficient in Microsoft Office Suite and comfortable with IT-related tasks.
