Stellenbeschreibung

Provide comprehensive administrative support to team members, including calendar management, travel arrangements, and meeting coordination

Prepare and format documents, presentations, and reports in line with organizational standards

Organize internal and external meetings, workshops, and events, including logistics, catering, and materials

Maintain and update databases, contact lists, and filing systems (electronic and paper)

Assist with procurement processes, invoice tracking, and budget monitoring

Liaise with internal departments and external stakeholders to facilitate communication and workflow

Support onboarding of new staff and interns, including coordination of IT and office setup

Handle confidential information with discretion and professionalism

Contribute to process improvements and team initiatives as needed

Proven experience in a similar administrative or team support role, ideally within an international or multicultural environment

Excellent organizational and time management skills, with the ability to prioritize and multitask

Strong interpersonal and communication skills

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with collaboration tools (e.g., Teams, SharePoint) is a plus

Fluency in English required; French or other languages are an asset

Attention to detail and a proactive, service-oriented mindset
