We are seeking a dynamic individual to fill the role of Trust Administrative Assistant with Receptionist duties. The successful candidate must be available at short notice due to the urgency of the position. This challenging yet rewarding role is situated in a bustling, friendly environment that requires excellent organizational skills, a proactive problem-solving approach, and a positive attitude. Proficiency in both written French and English is essential for effective communication with colleagues and clients.

Responsibilities :

  • Reception and Visitor Management :

Greet visitors warmly, creating a welcoming atmosphere.

Efficiently handle incoming phone calls and direct them as needed.

  • Administrative Support :
  • Oversee and support various administrative functions within the office.

    Schedule and organize meetings, ensuring optimal use of time.

    Maintain calendars and coordinate appointments.

  • Document Handling :
  • Manage incoming and outgoing mail with precision.

    Organize and handle incoming deliveries and documents.

  • Trust Support :
  • Provide first-class administration support to Trust Officers.

    Optimize time management to enhance overall efficiency.

    Prior experience in the trust industry is a plus.

  • Communication Skills :
  • Possess native-level proficiency in both written French and English.

    Proficiency in Spanish is an additional advantage.

  • Organizational and Analytical Skills :
  • Handle complex organizational tasks with calm and diplomacy.

    Utilize strong problem-solving and analytical abilities.

  • Technical Proficiency :
  • Proficient in contemporary office software tools.

    Comfortable managing complex travel arrangements and logistics.

  • Personal Attributes :
  • Maintain a positive attitude, attention to detail, and strong organizational skills.

    Demonstrate self-starting capabilities and a driven attitude.

    Exhibit excellent communication and interpersonal skills.
