Assistant to Director of Operations & Infrastructure

As the Assistant to Director of Operations you’ll provide high-level administrative, operational, and strategic support, acting as the right hand of the Director of Operations & Infrastructure by managing complex calendars, coordinating meetings, handling confidential communications, preparing reports / presentations, liaising with stakeholders, overseeing projects, and ensuring smooth day-to-day operations to free  for strategic initiatives. This role requires exceptional organization, discretion, problem-solving, and a holistic understanding of business operations.

What You´ll Do

• Organize and prioritize meetings, prepare agendas, take minutes, track action items, arrange logistics, and prepare the Director for appointments.
• Prepare documents, reports, presentations, and internal communications with clarity and professionalism
• Maintain operational trackers, dashboards, and shared databases to ensure information is up to date and accessible
• Be the communication hub by screening messages, distributing information, and coordinating with cross functional teams
• Support special projects, workshops, offsites, and operational initiatives from planning to execution, including progress monitoring and tracking of deadlines
• Keep internal processes running smoothly with consistent follow-up, structured systems, and an eye for improvement.
• Maintain organized and up-to-date files, databases, and records.
• Ensure confidentiality and discretion in handling sensitive information.
