The Administrative Assistant is expected to provide a functional and welcoming environment for all Personalized Health Informatics (PHI) group members, ensuring that all daily operations run smoothly. We are looking for an enthusiastic connector with excellent communication and problem-solving skills.
Responsibilities :
- Provide administrative support, including managing correspondence and agendas, setting up meetings / conference calls and travel arrangements for multiple parties, etc.
- Coordinate and organise group events and meetings, workshops, seminars, trainings, conferences etc.
- Manage PHI’s group operations and facilities, including rental contracts, cleaning services, procurements of goods, IT services etc.
- Execute back-office activities such as processing of invoices and contract management
- Support HR processes (e.g. recruitment, contracts, permits) and assist in the onboarding process for new hires
- Support a productive, inclusive and motivating team environment by developing, implementing and reviewing related policies and procedures
Profile requirements
Essential :
CFC and minimum 5 years of experience in a fast-paced, changing environment or equivalentStrong organisational skills, and the ability to multi-task with accuracy and reliability, solid time-management skills with the ability to prioritise tasksAbility to work independently and pro-activelyProficiency in collaborative electronic tools, office software, and document managementAn understanding of central administrative operations such as Finance, HR and CommunicationsExperience working in a scientific / academic environment, preferably in biomedical researchFluent in English and GermanDesirable :
Working knowledge of FrenchAwareness of the healthcare environment in SwitzerlandSome travel may be required.
