Your role

As an Office Manager, you will play a crucial role in ensuring the smooth and efficient operation of our new Corporate office in Schaffhausen.

You willl be at the forefront of maintaining our workspace, coordinating building maintenance, and providing support for various office-related functions.

You will also play a pivotal role in facilitating the success of our team members and company events. Moreover, this position offers you the prospect to advance and extend your responsibilities, potentially evolving to support the Global Real Estate Team in assessing projects across the region.

In your daily work you will :

Own the day to day running of office, leading by example, maintaining a high level of personal presentation and professionalism.

Manage daily building checks to ensure operational requirements and standards are being met.

Liaise with building management and vendors to address facility-related issues when necessary.

Coordination and management of maintenance and repairs by 3rd parties both planned preventative maintenance and reactive maintenance where required.

Ad hoc coordination of meeting and workshop events including management of visitors, reception coverage, catering, cleaning, room booking, transport, etc.

Monitor and replenish office supplies, equipment, and consumables.

Lead assorted occasional workspace projects and initiatives i.e. office upgrade works, expansion of workstations etc. Report project status to global real estate team.

Plan and coordinate company events, meetings, and conferences. Arrange travel itineraries and accommodations for employees and guests as required.

Operate and keep updated our internal workplace management systems and projects as needed, including our occupancy planning, security / access system and operational expenditure budget management

Assist in onboarding new employees and facilitate orientation programs as required.

Assist in office budget planning and monitor expenditures to ensure adherence to financial guidelines.

Your background :

Bachelor's degree in Business Administration, Management, or a related field.

Minimum of 3-5 years of relevant experience in office management or in a similar administrative role

Fluent in both German and English

Proficient in Microsoft Office Suite and office management software.

Excellent organizational and multitasking abilities.

Strong communication and interpersonal skills.

Ability to work independently and collaborate effectively with cross-functional teams.

Experience in workspace planning and office upgrade projects is desirable
